Dear Users,

This post gives some informations concerning "Cleanup the selected field" function.

This function is used to create automatically a "Cross Table".
A Cross Table is used to find & replace a form by a generic form chosen by the user.

We try now to explain how this function works:

- First, user must select a field. Prefer fields with small forms (name i.e.). Cleanup function is not done for big forms.

- Second, the program asks if you want to use "Exact" or "Approximative" soundex match.

Soundex is a phonetic algorithm for indexing names by sound, as pronounced in English. The goal is for names with the same pronunciation to be encoded to the same representation so that they can be matched despite minor differences in spelling. Improvements to Soundex are the basis for many modern phonetic algorithms.


In MA, all forms are represented by 4 digits.
"Exact" match means you select only forms with 4 common digits.
"Approx." match means you select only forms with unless 3 common digits.
Note : Digits must be on the same place.

Third, a new window appears with 2 parts.
On the left part, MA shows groups which have common forms (common digits).
On the right part, MA shows forms inside the selected group.


Let us detail the left part:

There are 4 columns:
S : State
Content can be
    Empty : nothing has already done.
    Green Square : The group has been processed by the user.
    Orange Square : The group contains forms which are used by another group but unless one form is not used.
    Red Square : The group has all forms used by another group.


Group Name : Means the name of the group. Wink

Soundex : Shows the 4 digits that represent the group

#E : Shows the number of forms in the group.

Note : each time, the user changes the selection, all states are re-calculated.


Let us detail the right part:

There are also 4 columns:
S : Selection If the user want to add a form in the selected group then he must check this box.

Forms : Means the name of the form. Wink

Soundex : Shows the 4 digits that represent the form

Associated Group : Shows the group which contains the selected form.


After processing all groups he wants, user has just to click on "Ok" button to valid its work.
MA asks a name for the new Cross Table.

And to finish, user will have just to use the Cross Table function to cleanup its field by a find/replace process.
